SMS Policy & Terms

Apex Tools AI ("we", "us", "our") uses SMS text messaging to communicate with patients and prospective customers of dental and medical practices that we serve. This policy explains how we obtain consent, what types of messages we send, how to opt-out, and how to contact us.

1. Brand & Sender

2. Consent & Opt-In

We send SMS only to recipients who have provided prior express written consent in one of these ways:

2a. Web form opt-in (signup page)

On our website signup form at apextoolsai.com/login.html, users must check a clearly labeled, unchecked-by-default opt-in box with this language:

By checking this box, I consent to receive SMS messages from Apex Tools AI about my account, appointments, and service updates at the phone number provided. Message and data rates may apply. 2b. Voice consent during AI calls

When our AI receptionist answers a call on behalf of a partner practice, callers are asked to confirm consent before any SMS confirmation is sent. The verbal consent prompt is:

Would you like me to text you a confirmation? Standard message rates may apply. You can reply STOP at any time to opt out.

Only if the caller affirmatively says yes do we send the confirmation SMS.

3. Types of Messages We Send

  • Appointment confirmations: Sent in English or Spanish when the AI books an appointment during a call.
  • Account & service updates: Sent to practice owners about onboarding status, billing, and service health.
  • Customer support replies: Sent in response to inbound messages or support requests.

We do not send unsolicited marketing or promotional SMS to consumers.

4. Sample Messages

Apex Tools AI: Hi Maria, this confirms your appointment with Dr. Park on Sat 9:30 AM at Hollywood Smile Dental. Reply STOP to opt out, HELP for help.
Apex Tools AI: Hola Maria, confirmamos su cita con el Dr. Park el sábado a las 9:30 AM. Responda STOP para cancelar, HELP para ayuda.

5. Message Frequency

Message frequency varies based on appointment activity and account events. Most users receive fewer than 4 messages per month.

6. Costs

Message and data rates may apply based on the recipient's mobile carrier and plan. We do not charge for SMS messages.

7. Opt-Out (STOP) & Help (HELP)

Recipients can opt out at any time by replying STOP to any SMS. We will send one final confirmation message and then stop all messaging to that number unless the recipient re-opts in.

Recipients can request help by replying HELP to receive an automated response with our contact email.

Important: Opting out of SMS does not opt you out of other communications (email, phone) or affect your account in any other way. Consent to SMS is not a condition of any purchase.

8. Privacy

Phone numbers and message content are stored encrypted at rest. We do not sell or share phone numbers with third parties for marketing. See our Privacy Policy for full details.
